Privacy

We take your data privacy seriously. This page is to help you understand, what data we collect and what we do with it.

1. Cookies

When visiting and using Language Hub site, you agree with the cookie policy. This site is based on Moodle platform and here is how it handles cookies:

Two cookies are used by this site:

  • The essential one is the session cookie, usually called MoodleSession. You must allow this cookie into your browser to provide continuity and maintain your login from page to page. When you log out or close the browser, this cookie is deleted (in your browser and on the server).
  • The other cookie is purely for convenience, usually called something like MOODLEID. It just remembers your username within the browser. This means when you return to this site the username field on the login page will be already filled out for you. It is safe to refuse this cookie - you will just have to retype your username every time you log in.

2. Analytics Data

When viewing Language Hub site, your activity is logged by an internal analytics tool. We log:

  • Date and time of visit
  • Location based on IP
  • Visited page
  • Browser used

We don't use Google Analytics.

3. Survey Data

We use a survey tool called LimeSurvey, hosted on our own servers, to collect feedback and other information from users.

Depending on the survey, we may collect:

  • Personal identifiers (e.g., name, email) if required to contact you or process your responses.
  • Responses to survey questions.
  • Metadata such as submission date and time, and your IP address.

Purpose of data collection:

  • To improve our services, courses, and user experience.
  • To analyze trends and feedback in an aggregated or anonymous form.
  • To optimize course organization, including scheduling, content, and delivery.

Data storage and retention:

  • Survey data is stored securely on our servers.
  • We retain personal data only as long as necessary to achieve the survey’s purpose, after which it is anonymized or deleted.

Your rights:

  • You may request access to your submitted data or ask for its deletion by contacting us.

4. Event and Appointment Booking Data

We use EventSchedule, hosted on our own servers, to manage appointments, meetings, lessons, events, and event registrations.

When you make a booking or register for an event, we may collect information such as:

  • Name and surname;
  • Email address;
  • Telephone number, where requested;
  • The event, lesson, meeting, or appointment you selected;
  • Date and time of your booking;
  • Number of participants or reservations, where applicable;
  • Information entered into booking or registration fields;
  • Messages, notes, or other information you voluntarily provide as part of the booking;
  • Information concerning the status of the booking, such as confirmation, cancellation, or attendance.

Depending on the technical operation of the service, standard server information, such as your IP address, browser information, and the date and time of access, may also be recorded in server logs.

Purpose of data collection

Information submitted through EventSchedule is used primarily:

  • To create and administer your booking or registration;
  • To reserve a place in an event or appointment;
  • To send booking confirmations, reminders, updates, cancellation notices, or other information related to your booking;
  • To provide joining information for online events or appointments;
  • To communicate with you about the booked service;
  • To organise and deliver lessons, events, meetings, and other services;
  • To maintain records necessary for administration, accounting, and invoicing where applicable;
  • To prevent misuse of the booking system and troubleshoot technical problems.

Where a paid service is booked, information relating to the booking may also be used to prepare and issue an invoice. Payment and accounting information may be processed separately in our accounting or administrative systems.

Emails

EventSchedule may automatically send transactional emails in connection with your booking, including:

  • Booking or registration confirmations;
  • Event or appointment information;
  • Reminders;
  • Changes or cancellation notifications;
  • Online joining information.

These messages are sent because they are necessary for managing the service you requested and are not marketing communications.

Cookies and technical data

EventSchedule may use essential cookies or similar technical mechanisms necessary to maintain your session and allow the booking system to function correctly.

These cookies are used for technical purposes and are not used by us for advertising.

Data storage and retention

Our EventSchedule installation is self-hosted. Booking information is therefore stored within infrastructure used by Language Hub rather than being intentionally transferred to EventSchedule as an external booking service provider.

We retain booking data for as long as reasonably necessary to administer the booking, provide the requested service, handle related communication, and meet applicable accounting, contractual, or legal requirements.

Data that is no longer required may be deleted or anonymised.

5. After you are registered and logged in

When you become our student, the administrator can register you using a special script which will result in generating a new account e-mail with a temporary password link. When logging in for the first time, you are asked to agree with the Processing of Personal Data Agreement, as we collect and maintain in electronic form the following data:

  • Name and Surname;
  • Email address;
  • Nationality;
  • Telephone number;
  • Results of polls and tests;
  • Attendance;
  • Access to the internal system of the administrator including the time and date of access, IP address, and resources used.
